About the Role

We are seeking a highly organized, motivated, and detail-oriented Showroom Manager to join our New York office. This role is essential to the daily success of the Fashion Division. The Showroom Manager will oversee sample flow, loan management, inventory tracking, and showroom organization — ensuring seamless support for press placements, VIP moments, and client reporting. We are looking for someone proactive, hungry to grow, and excited to take ownership of a fast-paced showroom environment.

Key Responsibilities

Sample Intake & Inventory Management

  • Oversee the receipt, intake, tagging, steaming, and tracking of all samples through Launchmetrics (Fashion GPS).
  • Maintain accurate, real-time inventory records across all fashion, accessory, and fine jewelry clients.
  • Ensure all samples are consistently showroom-ready and organized to MVPR standards.
  • Monitor overdue samples and follow up to ensure timely returns.
  • Coordinate end-of-season returns to clients and transfers to the LA showroom as needed.
  • Maintain organized archive storage for off-floor merchandise.

Loan Request & Sample Flow Oversight

  • Serve as the primary point of contact for incoming showroom loan requests via email.
  • Manage sample timelines from initial request through fitting, shoot, and return.
  • Create and manage loan memos in Launchmetrics with complete accuracy.
  • Ensure samples are pulled, prepped, and shipped in alignment with fitting and shoot schedules.
  • Follow up post-shoot to confirm usage and document placements.
  • Update Launchmetrics and client activity grids with confirmed coverage.
  • Offer substitution options when requested styles are unavailable.
  • Coordinate directly with clients to request additional samples when needed.
  • Facilitate transfers with the LA office when inventory is required cross-market.

Reporting and Accountability

  • Maintain a comprehensive, real-time log of all showroom loans.
  • Generate quarterly loan reports for all fashion and accessory clients across the agency.
  • Partner with account teams to ensure showroom data aligns with client reporting deliverables.
  • Share insights on pull frequency, top-requested styles, and showroom trends when relevant.

Showroom Operations

  • Maintain an organized, elevated, and client-ready showroom environment at all times.
  • Host and manage in-person pull appointments.
  • Support NY Press Day installations and sample flow.
  • Oversee shipping logistics, including packing, courier coordination, and tracking.
  • Maintain a clean and efficient dispatch area.
  • Monitor and reorder showroom office supplies as needed.

Showroom Visibility and Support

  • Support account teams with proactive showroom outreach initiatives to drive pull appointments.
  • Assist in communicating new arrivals and key seasonal pieces to internal teams.
  • Help coordinate showroom previews and curated racks for targeted editorial outreach.
  • Flag high-demand or underutilized inventory to account teams to support pitching strategy.

Team Leadership and Collaboration

  • Supervise and guide interns assisting with showroom operations.
  • Train interns on intake procedures, tagging standards, steaming expectations, and Launchmetrics logging.
  • Work closely with fashion account teams to support editorial and VIP initiatives.
  • Identify opportunities to improve efficiency and organization within showroom systems.
REQUIREMENTS:
  • 1–3 years of experience in a PR showroom, fashion operations, or retail sample management.
  • Proficiency in Launchmetrics / Fashion GPS preferred.
  • Strong organizational and time management skills.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • Comfortable supervising interns or junior support staff.
  • Proficient in Google Workspace.
  • Detail-oriented with strong follow-through.
  • Eager to grow within a dynamic agency environment.
